Who files and why the one-month deadline matters
The 17 August 2025 guide covers filing, sub-sales, searches, amendments, thirteen scenarios and common errors. The seller/transferor must file Notice of Transfer within one month of sale/transfer, usually through a lawyer. Until IRAS receives it, the seller retains property-tax payment and owner duties. Late/non-filing may lead to penalties and court summons; a composition offer requires both outstanding filing and fee payment by the letter’s date. The first owner is described as the correspondence addressee, while the operational form selects Recipient of Property Tax Notices; confirm the intended recipient with new owners.
Prepare parties and open the service
Have the sale/purchase agreement and transferee identification numbers; for non-citizens also nationality, gender, mailing address, date of birth and names matching identification documents. Log in under Client Notice of Transfer, then Property, Update Property Ownership. Enter first-use contact details or verify/edit prefill. Choose Building, Land or Building and Land; Building additionally asks how properties will be added. Save Draft may preserve progress, but an unsubmitted draft has not been received by IRAS.
Find the property manually or upload addresses
Manual entry is recommended for 20 or fewer properties, using address, postal code/storey-unit, tax reference or land description. Buildings should not use land description. A tax reference linked to several properties lists them all; verify and Add only the transferred properties. For more than 20, download the Property Address Template, fill and drag/drop or Select Files; preview its filename link and Continue to retrieve addresses. The rendered screen states a maximum 1,000 addresses and one XLSX file of at most 10 MB with an English filename up to 50 characters. Verify every displayed address before continuing.
Tenure, transferor, disposition and dates
Select tenure and the primary transferor, and answer whether the transferor is the State or a Statutory Board, default No. Choose Nature of Disposition, including the added Transmission on Death and Mortgagee-in-Possession; the screen instructs death cases to use Transmission on Death rather than Operation of Law or Intestacy Law. Type of Transfer includes encumbered with squatters, subject to tenancy, vacant possession or other. Enter transfer/possession and buyer tax-liability dates and whether there is a sub-sale. Sale/original-sale details include contract date, consideration disregarding GST, whole/partial transfer and post-transfer holding mode: sole, joint, tenancy in common, trust or other. Contract date must not be later than transfer/possession or tax-liability dates.
Buyer details, review and acknowledgement
Enter buyer/transferee and solicitor details; add every other owner and select the tax-notice recipient. Review all information, Edit corrections, tick the declaration and Submit to IRAS. After the approver successfully submits, an acknowledgement appears; an email goes to the law firm and new owners receive a transfer notice after processing. Multiple-property transfers generate one acknowledgement email but all listed properties are updated. An acknowledgement verifies submission, not that incorrect details have been validated.
The additional sub-sale branch
For a sub-sale answer Yes at Transfer Details. Complete original sale and original buyer/solicitor information, then Sub-sale Details and the sub-sale purchaser/solicitor sections. Add additional sub-sale purchasers where present and the solicitor email if applicable. Apply the same date ordering to sub-sale contract, possession/transfer and tax liability. Review, correct, declare and Submit to IRAS; successful approver submission produces its acknowledgement. This branch records both transactions instead of replacing the original purchaser with the final buyer.
Search, drafts, batch approval and duplication
Property, Search Records with criteria lets you view submitted details, Edit drafts, Add to Deletion then Delete, approve pending records, duplicate and export. A draft lasts 90 days from first creation and is then deleted if unsubmitted. Review and Submit approves one pending record; Add to Submission can collect up to 20 before Review and Submit. Duplicate Record creates a new form with details and only the first property of the source record, so check/add other properties. Export CSV covers all search-result records, including primary transferor, transferee and tax-liability date.
Amendments: approver, latest processed record and 90 days
Only an Approver can amend the latest submitted record with Processed status, within 90 days of submission. Amendments cannot be saved as drafts. Search Processed records, choose Amend, Continue, update fields, review/Edit, tick declaration and Submit to IRAS. Keep the resulting acknowledgement. This 90-day amendment window runs from submission, unlike the draft’s 90 days from first creation.
Death, foreign parties and four partial-share examples
For A/B/C/D joint tenants where B dies, retain joint tenancy and enter surviving A/C/D. Foreign sellers/buyers with PR NRIC or FIN should use that ID; only if OTH is needed supply name, salutation, gender, birth date and address. If equal A/B tenants-in-common and A sells its half to B, enter B as sole owner. For initial A1/10,B3/10,C4/10,D2/10: B sells all to C, resulting A1/10,C7/10,D2/10; B sells only1/10 to C, resulting A1/10,B2/10,C5/10,D2/10; A and B sell all their4/10 to C, resulting C8/10,D2/10. Enter the complete post-transfer ownership, including retained owners.
Trusts and two complex holding examples
For a minor’s trust select Property held in Trust, provide trustee and beneficiary and make the trustee tax-notice recipient. On trustee change, also link beneficiary to trustee by selecting its ID. Where A3/10,B3/10,C4/10 become A/B jointly holding their6/10 and D acquires C’s4/10, the guide directs Tenancy in Common entries A3/10,B3/10,D4/10. Where initial A1/10,B3/10,C4/10,D2/10 and C sells to E/F jointly, it directs A1/10,B3/10,D2/10,E2/10,F2/10. These are the form’s prescribed entries for mixed holding arrangements; do not omit the existing owners or confuse the entered split with the separate joint-holding description.
Transmission, mortgagee and error consequences
For a deceased owner with a registered executor/administrator/legal representative select Transmission on Death and supply that person. A possessing mortgagee bank uses Mortgagee in Possession. When the bank releases the property, use Remove Mortgagee-in-Possession from Quick Access on the Processed record to create a new form stating possession end date. Confirm address, true transferor and transferee: wrong entries require law-firm clarification and delay processing. The tax-liability date affects buyer tax and both parties’ relief/rebates. Drafts never reach IRAS. Source contact is online chat weekdays8am–5pm excluding holidays, or1800 356 8300. The cover contains an unrelated PIC header; the body is the property-transfer guide.
